Shakti Shalini is a Delhi-based NGO founded in 1987 that works for gender equality. Shakti Shalini responds to sexual and gender-based violence (SGBV) through support services for survivors of violence and their children, working with marginalised communities to prevent violence, media outreach for gender equality, and a mentorship program.
Job Status and Type: On-Site, Full Time, 5 days a week, Monday to Friday, 9:00am to 5:00pm.
Job Title: Administration Coordinator, Shakti Shalini
Job Location: Jangpura and Ashram Chowk, New Delhi
Job Remuneration: Rs. 40,000 per month (Rs. 38,000 in first six months of probation and Rs. 40,000 per month once permanent). With annual increment at 6/8/10% depending on the annual performance review.
Reporting: Reports to the Core Lead and Operations Lead, Shakti Shalini

Roles and Responsibilities of the Administration Coordination:

- Manage the day-to-day operations of the offices and centres (total 4 locations)
- Ensure general maintenance like house-keeping, first aid kit, pest control, hygiene, electrical and mechanical, sanitary and plumbing, space management.
- Ensure regular fire and disaster management drills and maintenance systems.
- Ensure general office conduct and attendance of personnel.
- Oversee the operation, improvement, and utilisation of all Shakti Shalini properties.
- Coordinate and liaise with the concerned authority for renewal of shelter lease and licence.
- Draft routine correspondence, management, and distribution of office inventory, stationery, and material.
- Management of all repair and maintenance requests and requirements of the organisation.
- Overseeing the work of the repair and maintenance personnel.
- Managing all IT products including labelling, maintaining stock and inventory, and coordinating repair and maintenance of IT.
- Managing printing and distribution of all visiting cards and ID cards.
- Provide logistical and other support for internal and external events, visits, contracts, and services.
- Ensure Internal Control Systems are implemented regularly and identify areas of improvement.
- Maintaining Asset/Stock Inventory of office as well as for projects in coordination with project staffs.
- Processing and verification of reimbursement claims of personnel, viz proper checking of travelling, Conveyance, Telephone/Mobile Phone bills etc., ensure control and timely payment of the same after approval of the competent authority.
- Maintain all the office records and registers and inventory management, including fixed assets register, and facilitate assets coding.
- Review incoming correspondence, collect and prepare necessary information for reply/action, and draft and finalize responses.
- Assist in petty cash management.
- Responsible for all Admin related work in Projects.
- Executing or overseeing other office activities, at the discretion of the management.
- Procurement of assets, stationery and supplies.
- Create a database of vendors for such procurements
- Logistics and procurement lead, facilitate compliance
- Coordination with vendors for quotes/ proposals.
- Maintain and update the records of service providers and vendors and coordinating for necessary documents.

Eligibility:
Education: Masters’ in Business Administration, related field, or humanities subject if there is relevant work experience
Work experience: Minimum 2 years of work experience, preferably in administration for grassroots organisations.
